How an AI Assistant Captures Leads for a Small Business

22 October 2026

A website with no way to capture a visitor's details is a leaky bucket. People read your page, like what they see, and leave without ever telling you who they are. A chat assistant fixes this in a natural way: it answers a question, and when the person is clearly interested, it asks for their name and phone number so you can follow up. Here is how that works with the Business Assistant in Ail for Business, and how to get good leads out of it.

Why chat captures more than a contact form

A contact form asks for effort before it gives anything back. A chat gives an answer first. A visitor who asks "do you have a slot on Saturday?" and gets a real reply is far more willing to leave a phone number than one staring at an empty form. The details arrive attached to a real question, so you know what they wanted before you call.

How lead capture works

You switch on lead capture for your assistant. From then on, when a visitor's question shows they want something from you, such as a booking, a quote or a callback, the assistant offers a small form asking for their name and phone number or email, and an optional note. The form only appears when it makes sense, not on every message, so it does not feel like pressure.

When the visitor sends the form, you get an email with their details. They are also saved in a list inside your dashboard, where you can read them any time and download them as a spreadsheet file for your own records.

Set it up in four steps

First, create your assistant and write down your services, prices and hours, as described in our guide to adding an AI chatbot to your website. Second, turn on lead capture in the assistant's settings. Third, set the contact line to the number a customer should call if they would rather talk to someone. Fourth, send a few test messages as a customer would and submit the form yourself to see the email you will receive.

Make the assistant ask for the right thing

Leads are only as good as your answers. A few habits help.

Say what you want visitors to do. If you want people to book a visit, write that near the top of your text: "To book a visit, give us your name and number and we will call you within a day." The assistant then steers conversations toward that.

Give real answers about price. People leave when they cannot find a price. If you cannot quote exactly, give a range and say what it depends on. The honest range gets you a more serious lead than a hidden price does.

Keep the promise you make. If the assistant tells a visitor that you will call within a day, call within a day. A fast first call is the biggest single reason one business wins a lead over another.

What happens to the details

Leads belong to you. They are visible only in your account, and the form tells visitors that only your business will see what they enter. Leads are kept for 180 days and then deleted, and deleting an assistant or your account deletes its leads too, so you are not holding on to data you no longer need. Questions the assistant could not answer are kept for 90 days.

Use the unanswered questions too

Every week the assistant can email you the questions it could not answer. These are often the best sales material you have: they show exactly what your customers wonder about and your website fails to say. Add those answers and you capture fewer leads that bounce and more that convert.

A simple routine

Check your leads each morning and call the new ones first. Once a week, read the unanswered questions and update your text. Once a month, look at what people asked about most and make sure your website and your assistant both say it clearly. That is about twenty minutes of work a week for a steady stream of warm enquiries.

If you would like a more connected setup, for example leads going straight into your own sheet or CRM, or a WhatsApp assistant that follows up, ask us for a free consultation.
